Client Account and Logistics Manager

Most logistics roles move freight. This one coordinates whole projects. I sit between the supplier, the purchasing team, the freight forwarder, the customs broker, the warehouse, accounting and the client, and I am accountable for the outcome at the end of that chain rather than for one link in it.

Client accounts and advisory

  • Own hospitality accounts end to end, from first quotation through to final delivery and reconciliation
  • Single point of contact for the client across the life of a project
  • Build institutional presentations and proposals for prospective accounts, in English and Italian
  • Advise on Incoterms strategy, sourcing routes and landed cost before an order is placed, not after
  • Translate design and specification requirements into buyable, shippable orders
  • Manage expectations on cost, lead time and substitution when a specified product is unavailable
  • Resolve problems before they reach the client, and communicate early when they cannot be avoided

Freight and customs

  • Air, ocean, LTL, truckload and final-mile transport across North, Central and South America, the Caribbean, Europe and Asia
  • Import and export compliance, customs documentation and clearance
  • Incoterms structuring across DDP, DAP, CFR, FOB and EXW
  • Tariff and duty analysis, HTS classification and certificates of origin
  • Foreign trade zone and bonded warehouse operations
  • Commercial and proforma invoices, packing lists and shipping instructions
  • Carrier evaluation, routing optimisation and freight negotiation

Procurement and systems

  • Procure FF&E and OS&E: tableware, cookware, kitchen equipment, smallwares, furnishings and food service accessories
  • Run sales orders, purchase orders, inventory transactions and invoicing through Fluentis ERP
  • Track freight cost, supplier performance, transit times and logistics KPIs in Excel dashboards
  • Financial reconciliation across supplier invoices, freight billing and client accounts
  • Write standard operating procedures for purchasing, logistics and order fulfilment
  • Automate documentation and reporting with AI tooling to cut manual handling

The client side

On the account side the client is the point. An opening is a fixed date with a venue behind it, and the job is to get every specified item there in a condition to be used on the first night of service.

The logistics side

On the freight side the client name is irrelevant. What matters is volume, lane, mode and clearance. A pallet of porcelain to Punta Cana and the same pallet to Nassau are different problems, and neither cares whose restaurant it is going to.

Volume

More than seven hundred and fifty shipments across a sixteen-month period. Roughly six hundred and seventy-five domestic and eighty-five international, running in parallel with the account work.

Domestic

Around three hundred and fifty parcel movements, two hundred and twelve on a single cruise-line account, and one hundred and fifteen LTL consignments across the United States.

International

Roughly sixty-five LTL and eighteen parcel movements, a high proportion of them consolidated to bring the freight cost per line down.

Consolidation

Grouping multiple supplier orders into single consignments where the schedule allows. It is the difference between paying freight once and paying it six times, and it is where most of the saving on an opening actually comes from.

Vessel provisioning

Routing to seventeen vessels across two cruise brands, each with its own port schedule. The delivery window is set by the sailing, not by the supplier, and clearance has to be arranged with local port agents before the ship arrives.

Origin lanes

Supplier pickups across Italy, Spain, Belgium and the United Arab Emirates, and domestically from Georgia, New Jersey, California and Florida.

Destination lanes

Delivery into the United States including Florida, California, New York and Hawaii, and outbound to Italy, Switzerland and Portugal.

Compliance

Every international movement documented against commercial invoice, packing list, HTS classification and certificate of origin, and where the commodity requires it, mill certificates, metal value declarations, Lacey Act, FDA, proof litre, fumigation and stackability.

Cost control

Freight cost tracked against goods value on every shipment, with carrier evaluation, routing alternatives and quoted-versus-actual reconciliation.

How a project runs

A venue opening is not a purchase order. It runs in four phases, and the work in each one determines whether the next is calm or chaotic.

Concept support

Work with the venue early to define operational and aesthetic requirements before anything is specified. Catching a lead-time problem at concept stage costs nothing. Catching it two weeks before opening costs a great deal.

Procurement management

Sourcing, product selection, supplier coordination and logistics planning. Matching a specification to a manufacturer line that can actually deliver on schedule and at the required standard.

Opening support

Full operational support through the opening itself, when everything arrives at once and any gap is immediately visible on the floor.

Reorders and continuity

Ongoing management once the venue is trading. Breakage replacement, seasonal changes and menu-driven requirements, handled without the account needing to explain itself again each time.

Brands and categories

Sourcing runs across roughly fifty manufacturer lines, weighted toward European porcelain, glass and flatware alongside American food service equipment. Knowing which line actually solves a specification, and what its lead time really is, is most of the job.

Earlier

I paid my own way through college by working the summers. I started as a doorman at a residential building in Rome, then spent a summer waiting tables at a restaurant on the coast at San Felice Circeo.

Neither job goes on a resume, but both are the reason hospitality is not abstract to me. When I am sourcing tabletop for a hotel or arguing about a delivery window on a restaurant fit-out, I have stood on the other side of it. The people who will actually use what I buy are not a line item.
